Stallholders Handbook

As a stallholder, we’re delighted to have you as part of this vibrant community celebration of bees, beekeeping, honey, and local produce. This handbook contains important information to help ensure a safe, enjoyable, and successful day for everyone.

Please read this handbook carefully and keep a copy handy on the day of the festival.

1. Festival Overview

Event: Honey Bee Festival
Location: The Esplanade, New Norfolk
Date: Sunday 19 April 2026
Time: 10:00AM – 2:00PM

Bump-in: 8:00AM-9:30AM
Bump-out: 2:30PM – 3:45PM

The Honey Bee Festival is a family-friendly community event celebrating:

  • Bees and pollinators
  • Local honey and produce
  • Sustainable practices
  • Community education and fun

Our goal is to create a welcoming, safe, and enjoyable environment for visitors and stallholders alike.

3. Stallholder Responsibilities

All stallholders are responsible for:

  • Operating their stall safely and professionally.
  • Complying with all relevant regulations.
  • Maintaining a clean and tidy stall area.
  • Managing their own equipment and stock.
  • Ensuring public safety at all times.
  • Following directions from festival staff and volunteers.

Stallholders must remain at their stall for the duration of the event unless prior arrangements have been made.

4. Stall Setup (Bump-in)

Bump-in Time: Sunday 19 April, 8AM – 9:30AM

Please note:

  • Arrive and setup during your allocated bump-in times.
  • Follow directions from event staff.
  • Vehicles must be moved from the event area once unloaded.
  • Setup must be completed by 9:30AM.
  • Late arrivals may not be permitted to set up.
  • There can be no vehicle movement outside of the bump-in times.
  • Event personnel will issue you with a site number upon arrival.

5. Stall Pack-Down (Bump-out)

Bump-out Time: Sunday 19 April, 2:15PM – 3:45PM

Important:

  • Do not pack down until the bump-out time.
  • Vehicles may only enter once authorised.
  • Leave your site clean and free of rubbish, as you found it.
  • Take all equipment and waste with you.
  • There can be no vehicle movement outside of the bump-out times.

6. Stall Requirements

Each stallholder must provide:

  • Their own marquee, gazebo or other shelter.
  • Tables and chairs.
  • Power leads and equipment (if required).
  • Weights and pegs to secure marquee, gazebo or other shelter.

7. Marquee, gazebo or other shelter safety

All marquees must be secured with weights and pegs. Minimum requirement:

20 kgs per leg

Unweighted marquees may be asked to close immediately for safety reasons.

8. Power and Electrical Safety

If using power:

  • All electrical equipment must be safe and in good condition.
  • Leads must be suitable for outdoor use.
  • Leads must not create trip hazards. Please cover leads.
  • Leads to the power supply boxes will need to be at least 10 metres in length. Bring spares, just in case.
  • All electrical equipment must be tagged by an certified professional.
  • DVBA personnel reserve the right to inspect the tags on any electrical equipment.

9. Food Stall Requirements

Food vendors must comply with all food safety regulations. You must:

  • Hold a current Food Certificate of Registration.
  • Follow safe food handling practices.
  • Maintain proper food storage temperatures.
  • Display the Food Certificate of Registration at your stall.

10. Liquor Licensing

If selling liquor or offering liquor tastings, you must:

  • Hold a current Tasmanian Liquor License Permit.
  • Follow responsible service of alcohol protocols.
  • Display the Tasmanian Liquor License Permit at your stall.

11. Waste and Cleanliness

All stallholders are responsible for their own waste. You must:

  • Keep your stall area clean.
  • Remove all rubbish at the end of the event.
  • Use bins appropriately.
  • Avoid dumping liquids on the ground.

Please leave your site as you found it.

12. Weather Preparedness

The festival will proceed in most weather conditions. Please be prepared for:

  • Wind
  • Rain
  • Heat

Ensure your stall is properly secured, weatherproof and safe for festival patrons.

13. Insurance Requirements

All stallholders must hold Public Liability Insurance with a minimum coverage of $10 million. Proof of insurance may be requested, so please bring a copy of the Certificate of Currency for your policy.

14. Safety and Emergencies

In the event of an emergency:

  • Follow instructions from event personnel
  • Remain calm
  • Assist festival patrons, if safe to do so
  • Contact emergency services if required

Please report injuries, hazards, incidents and lost children to event personnel.

15. Vehicles and Parking

  • Vehicle movement is permitted during the bump-in and bump-out times only.
  • No vehicle movement during the event times.
  • Follow directions from event personnel.
  • Park your vehicle in the designated areas only.

16. Prohibited Items

The following are not permitted:

  • Dangerous equipment
  • Illegal items
  • Generators
  • Offensive or unsafe materials
  • Sound systems

17. Stallholder Conduct

We expect all stallholders to:

  • Treat customers respectfully
  • Behave professionally
  • Support a positive community atmosphere
  • Follow instructions from organisers

18. Bee-Friendly Practices

We encourage stallholders to:

  • Reduce single-use plastics
  • Use recyclable or compostable packaging
  • Promote sustainability
  • Support pollinator-friendly messaging
